Clockspot's time tracking service allows employees to clock in and out of work from any job site through a telephone or the web. Employees call Clockspot's toll free number from any cell phone or land line to clock in. Managers can then check their employee's times online in real time. Clockspot is perfect for businesses with employees who go out to remote job sites, such as cleaning services or home healthcare businesses. How it works in 4 easy steps

1. Call Clockspot at 866-721-1085

  • Employees can call our toll-free number from any cell phone or land line. They will be prompted to enter a user ID and password.

2. Enter your user ID and password.

  • When you create an employee account, it is automatically assigned a user ID. To check an employee's user ID, log in as a manager and go to the Users tab. Hover over any employee name to see their user ID. You will also need to give employees a numeric password, so something like "1137" would work, but "bob1137" would not.

3. Press 1 to clock in or out.

  • Once logged in, employees will have several menu choices, which you'll be able to enable or disable in your Settings. 1) Clock in/out 2) Record a voice report 3) Start task 4) Complete task 5) Check messages 6) Input mileage 8) Enter a job code

4. Check employee timesheets online.

  • You may now check your employee's times online. Go to your dedicated login URL and log in as a manager. You will see their clock time, and any voice authentication or voice reports they have recorded.

Absences & Accruals

Track sick days, holidays, vacations, etc. Set up automatic accrual of paid time off (PTO), or manage employee balances manually.

1. Accrue and manage PTO balances.

  • Managers will be able to set up automatic accrual of paid time off (PTO). You can accrue PTO hours over time, or accrue based on the number of hours employee's have worked. You can also add your own custom absence types, such as sick day, holiday, vacation, etc.

2. View absences on the timesheet.

  • Once you add an absence, it will show up on the timesheet. To find an absence, just click on a start and end date using the calendar on the right page. You can then click on "Export", then choose "Print view" to see a quick report.

3. Employees can submit an absence request.

  • Instead of emailing back and forth with the manager, employee's can submit an absence request to their manager for approval. Managers can then either accept or deny the request. Employees can then check the status of their request online.

Tasks & Messages

Assign tasks for your employees. Export reports summarizing how long they took. Chat with coworkers through Clockspot's built in messaging system.

1. Assign tasks for employees.

  • When employees log in, they'll be able to see that they have new tasks. They can then choose to start the task, and end the task once it's complete. Managers can then get reports on how long they took to complete each task.

2. Send messages.

  • Communicating through Clockspot reduces time wasted on personal email. It also eliminates problems such as email getting lost in spam, or messages not being delivered. Managers can also monitor if and when an employee reads their message.

3. Instant messaging.

  • If chat is enabled, you'll be able to see whenever an employee or manager is logged in to Clockspot. You can then click on their name to open a chat window. Instant messaging through Clockspot improves communication, and helps prevent employee's from wasting time on popular chat programs such as AIM, or MSN.

Calculate regular hours, overtime, PTO hours, etc. Get a breakdown of your online timesheet - time spent on projects, tasks, jobs, and clients.

  • Generating a report is fast and easy with Clockspot. With just a few clicks, you can export detailed reports to PDF, Excel, or HTML. You can also go to our more advanced Create Report page for more customizations and advanced options.

2. Calculate overtime & payroll.

  • Calculating overtime doesn't need to be hard. Clockspot makes this process extremely easy, showing a detailed breakdown of overtime clocked in each work week. You can then export a breakdown of regular hours, overtime hours, and PTO hours for payroll.

3. Tips, deductions, tax, lunch breaks, etc.

  • There are plenty of options which can be enabled for the purpose of calculating payroll. You can track tips and bonuses, tax withholds, deductions, etc. If you don't require employees to clock in/out for lunch, you can also automatically deduct or add a lunch break.
